Beautiful and Transparent Firm and Project Management Tool

Reviewed on 21/03/2022

We've been able to solve our issue of having tons of data in different places, unable to reconcile them - assignments, pipeline/backlog, time tracking, budgets, etc. We tried to build something ourselves with the tools we had until we found Monograph, who does it perfectly, and understands what it takes to do architectural projects. The staff is incredible, and the expanded focus they've placed on building a community of practice operations nerds is SO valuable. From the product to the people to the community, they're incredible.

Pros

Monograph is so beautifully designed that my team of architects enjoy looking at an analyzing data now. We love how past, current, and future fee and staffing projections are married together to give us a clear picture of our firm's profitability and staff and project needs. Our firm owners can see high level firm health info, our project managers can see how they're performing on their projects, and our staff can see exactly what they should be working and reporting on. I also appreciate that it's a newer platform that's constantly putting out new updates, features, and functionality.

Cons

We understand that it takes time to build a great product and some things are going to be missing or slightly off as the platform improves. There are some minor annoyances with reporting functions, exporting features, and how resources are assigned work, but we get around it for now. Accurately tracking overhead time and PTO could use major improvement. I'd love to see different user types for guests and/or independent contractors - it's too high of a price point to invite part time 1099 contract staff to use it, but would be very convenient if they could track time directly against our projects on Monograph. I'd also like to see more app integrations.

We paid through the year and hope you all continue to make improvements. If major improvements are not made by the end of the year, we will do anything we can to ditch the software.

Pros

The time tracking for projects and overall cost evaluation is fantastic.

Cons

The cumbersome use is terrible. Lack of being able to create and share tasks easily is also not good. Not being able to collaborate with other Monograph users for tasks is very frustrating. Invoicing is constantly glitching and the partnership with Stripe is Hell and has personally cost us close to $10,000 in lost revenue.

Pros

Very accessible and easy to use. The minimal learning curve meant we could have staff up to speed in a week of implementation.

Overall, we have been very happy with the implementation of Monograph and the improvements they have been making. We look forward to continuing to use Monograph to help us have a better understanding of our status on all our projects.

Pros

Monograph is great for getting a quick overview of projects and team assignments. The development team has been making significant improvements even in the short time we have been using it. Planning projects is straight foward and the tracking time and money against budgets is super helpful.

Cons

The task management needs a lot of work still. It is clunky and not very user friendly. There is also no easy way to budget for expenses on a project that are not tied directly to an employee's time.

Overall we have been very satisfied with the program, service and features. I'm sure we're not taking full advantage of the capabilities yet, but look forward to being able to fully utilize the benefits when all of our current projects are transitioned into the software.

Pros

Monograph is designed for Architects and the features are practical and functional. The project management and time management are very intuitive and easy to implement.

Cons

Making the conversion from our previous time keeping and invoicing systems has been a slower process than anticipated. Some projects span over multiple years and converting them to the new tracking system is somewhat complicated.

Monograph has made a big difference in our office regarding project management. All the hours are being captured for each project, and with the help of the reports, I can easily analyze each project's profitability, pain points, progress, etc.
It allows me to quickly calculate what the fees should be for future projects, based on size and work required to complete it.

Pros

It is easy to use and allows us to analyze and assess each project. Based on previous projects, we can more accurately predict the amount of work and hours required, making each project more profitable. Lastly, Monograph are constantly improving the various features ie: payroll, taxes, payments, linking to accounting software, etc.

Cons

I wish team members could see their allocated hours vs. how many they've used in each phase of work without seeing the financials in a separate section of each project.

Effective project management software

Reviewed on 08/04/2024

Pros

Monograph is a very intelligent and easy to use software for time tracking against project phases. It makes it very simple to gather reports on project finances and send out invoices to clients. It makes our day to day project management so easy, we couldn't live without it at our office!

Cons

Monograph offers many tools and one of them, the staffing tool, could be extremely useful to us however it is not easy to deploy and it leaves the users very confused when we do deploy it. Would love a simpler version of it where each designer in said project has an hour countdown per project so they know how much time they have left per phase.

Overall, we are still learning to use monograph and are still undecided if we like it or not. Even though we do not send invoices thru monograph, we have used it to track our time when invoicing and really liked that you can track any time that hasn't being invoiced in the past. This saves time, but at the same time we create two invoices (one in monograph and the other in QuickBooks). We also enjoyed that we can see what tasks have been completed and assigning tasks have been fairly easy do.

Pros

Monograph is easy to use and in some way intuitive. Resource allocation and reporting are great features, but they need improvement.

Cons

Integrating with QuickBooks client information was simple, but we had to manually transfer our time from QBs to monograph which was very time consuming and to this day we have not transferred all our time into. We do not use the invoicing feature to directly invoice our clients because we wish that we could add some notes under each phase, or at least under hourly phases. Also, I do not like that you cannot combine hours under same titles, for example two principals have worked on the same project/phase - it shows as separate in the invoice. Also, project reporting and project financials lack important data. Such as showing profit and loss reports for each project. It only shows based on billable rates but not employee cost/overhead multiplier. Under time log, it would be helpful if the phases are shown. It would be great if rate tables could be adjusted or set per project. It would be helpful if tasks and resource allocation were sync, rather than being separate features. Also, it would be great if it were mobile/tablet friendly.

I am not solving any business problems through Monograph. I just use it daily to track time, create invoices, maybe track projects.

Pros

I can track my time per project and create invoices from it which is my primary use. The format of the software is simple and easy to read and mostly navigate.

Cons

You cannot customize the invoice - the default invoice format is also quite large; I'm surprised that this was designed by architects and not customizable. It doesn't quite make sense about how to track budgets and time in the project setup so I have not used it as much. It's not as flexible either if your project is very flexible and not as rigid (hourly, open ended, etc). Customer service is kind of hit or miss; it takes a few days for a response and then at one point, I had to schedule a zoom call appt just to answer a question that could have taken a few minutes to properly answer (they could not clearly answer my question in a chatbox).
They say they are a project management software company and not an accounting company which I understand, but time is always tied to money in an architectural software tracking projects. So the fact that I cannot really look back and report on invoice tracking (YTD, MTD, etc.) and estimates and whatnot, seems counterproductive to me. I was told to use another software program to do all my accounting. I was initially looking for a one stop shop to provide all my needs as a working designer/architect. The other programs I've looked into also fall short so it is what it is.

Excellent! The support has been great, the community is wonderful - love that Monograph has been putting on events for all.

Pros

Unlike other project management and time tracking software, this product provides the capability to track project budget/fees in phases that align with the architecture industry's standards.

Cons

One of the most valuable things about this software is the ability to track hours against the project fee. We wish that the status of each project related to the project fee was more clear (percentage complete, time remaining for each phase, etc). You have to click into several menus to get to this info.

Our company searched long and hard for a project management platform before deciding to move forward with Monograph way back in the Beta version. We wanted a place we could go to tell us how we were doing on project estimation and budgets, as well as a scheduling tool we could go to in order to see when we could fit certain projects into our pipeline. Monograph does both exceedingly well.

Pros

I love the ease of use of Monograph. For the level of detail Monograph supports, it's always easy and super intuitive to use.

Cons

Monograph does not interface with Quickbooks, so you either have to invoice from Monograph and duplicate in QB or duplicate time in QB to invoice in there. Either way you're doubling up work, which is not ideal.

Reasons for Switching to Monograph

Nothing was a sleek or intuitive as Monograph. Nothing was as cheap at the time and no company was developing their platform as fast or as efficiently as Monograph. It was a pretty easy decision to make.

Equal Pros/Cons

Reviewed on 14/02/2022

Pros

I like the approachable user interface, the project timelines visuals, and the catering to the architecture business. I like the invoicing now because it shows percent complete and is way better. The cost is ok for me a sole practitioner, but not ideal for growing.

Cons

I hate that is an online app, and not a desktop app. The online app seems to have trouble syncing quickly, and signing out and signing in is annoying, and constantly reconnecting to quickbooks is annoying. I also don't like that there is no mobile app. This would be helpful for just checking on things remotely, as well as time tracking while on the job site (like Geofency app which helps you track time and associated gps locationg). Lastly, it seems like the Resources area resets everytime you are there, so if you customize a schedule for the week, and then get out of the resources page it resets, so you have no record of your plan again throughout the week. My work around right now is to screen shot it, but that is inconvenient / absurd at best. It would be ideal to be able to keep it current always, update your customized plan as the week goes on, and even print the plan as necessary.

The people at Monograph have been exceptional to work with. [SENSITIVE CONTENT] in sales was incredibly patient and spent so much time helping us determine if this software would truly work for us without pressuring or upselling. They're incredibly receptive to suggestions for changes and I've already seen them roll out improvements - the software keeps getting better!

Pros

Full disclaimer: I am an administrator who was not trained in architecture, so learning what my firm needed to streamline its project management and personnel operations was a challenge. The fact that Monograph is custom built for the quirks of the architecture industry is really invaluable. This, plus it is intuitive enough for a non-industry professional like me to learn the ropes quickly. As we roll out Monograph, we will be able to consolidate so many extraneous processes and tracking spreadsheets - I anticipate it will make our workflow much more efficient.

Cons

There are some reports we're accustomed to creating that are not yet features in Monograph, so we'll still need to do some legwork outside of the software to track certain data. Until consultant fees are tracked against the overall percent-complete progress of each project, we won't be able to use Monograph invoices or reports to share with clients as part of our monthly billing package.

As an employee at a small architecture firm I find Monograph very useful for our needs. It's easy, clean, and simple to use. It also has all the basic tools one might need to keep a firm running.

Pros

I love how easy it is to fill out my timesheets. Timesheets are well organized in the software and easy to edit. I also like being able to add notes to the hours I put in.

Cons

I think that the time tracker clock could be easier to use. Currently I don't use it at all because it ends up being more of a pain than a benefit. As well as not improving efficiency. I think it would be more useful if it was integrated with the time sheet page. I often jump from project to project in a single day. So being able to start time on a project and pause, then start time on another would be helpful.
