About Myhrtoolkit

Myhrtoolkit is a web-based human resources management system which covers time off and holidays, sick days and absences, staff training compliance, document management, performance appraisals, task management, HR reporting, and more.

Myhrtoolkit automatically calculates each employee’s holiday entitlement, whether they work part-time, full-time, or variable hours, and enables employees to view their entitlements and make holiday requests online. Managers are then notified of pending requests requiring approval, including any additional notes, and when time off is approved employees are automatically notified, the holiday is added to the staff calendar, and the employee’s holiday entitlement is reduced. Time off in lieu (TOIL) can also be managed separately from holiday.

Multiple absence types can be tracked with Myhrtoolkit, with users able to select from standard options or create new absence types to suit their company. Single-day absences, such as sick days or duvet days, multi-day absences including maternity and paternity leave, and short amounts of missed time due to lateness, medical appointments, or other factors can all be recorded. The reason for absence can also be hidden from public view, such as in compassionate leave records. For sickness absence, employee fit notes and ‘back-to-work’ documents can be attached to absence records, with Bradford factors calculated and any patterns in absences flagged automatically.

Myhrtoolkit sends out weekly HR management emails to managers and HR controllers, with details of upcoming holiday bookings, expiring training, the previous week’s absences, issued documents which have not yet been read, upcoming birthdays and service anniversaries, and more. Reports can also be created covering holiday, absence and attendance, and employee data. Employee files are stored online in a centralized database, and a built-in document library allows users to upload both individual employee documents and handbooks, procedures, and policies covering the whole organization.

  • Holiday entitlement for staff is calculated automatically, whether they are full-time, part-time, or on variable hours, and holiday can be measured in hours or days with the ability to switch between the two.

  • Employee absences can be recorded, fit notes and ‘back to work’ documents stored with incidents, Bradford factors are automatically calculated and absence patterns flagged.

  • Users can choose to receive a weekly management email, which includes details of new starters and employees who are leaving, upcoming holiday bookings, training which is due to expire, the previous week’s sickness and general absences, upcoming employee birthdays and work anniversaries, and more.

  • Employee documents, including job descriptions, contracts, CVs, identification documents, and work permits can be stored in the document library, with automated reminders for document expiry.

  • Employees can be added to or removed from the employee database using the inbuilt starter and leaver wizards, and a full audit trail enables users to track what information has been changed, when, and by who.

    We have been using myhrtoolkit for a few years now and it is a great platform to help manage our staff members holidays, sickness etc. It is user friendly and if we ever have any issues the support team help us straight away.

    It would be nice to be able to have some bespoke items on the toolkit i.e be able to create folders under the Document Library to keep certain staff documents in so at a quick view we can see who has something missing.

    I don't have a huge amount of experience with this sort of programme so I don't have much to compare it to, but I don't find it very intuitive - once you find where something is, it's ok, but it's not always obvious, and the language used can be a little confusing for non HR Professionals like myself. That said, with some practice it pretty much does everything I need it to do, and I've always managed to either find the answer myself or the Customer Support has been great.

    Pros

    It's not fussy! Plain and simple is good.

    Cons

    It's not intuitive and therefore can be quite hard to find your way around.

    It does what it says on the tin, it is useful to track employee info and submit letters to them and track holiday etc

    Cons

    The clunkiness of it, it seems very old school, not a modern feel to it and doesn't seem to streamline with other applications.

    First time used off the shelf software so nothing to compare to however, some items are not very...

    First time used off the shelf software so nothing to compare to however, some items are not very intuitive eg document types are stuck with system entries, cannot easily add a back to work sick form. Our HR parter advised we can request amendments but this wasn't the case when spoke to the helpdesk.

    Mainly used for holidays, sickness and other absences it is easy to use and very good value for money. It gives everyone access and flexibility to track their own and their teams' entitlements and book and manage holidays. A good all round product
