About Document Control

Document Control is a cloud-based document management solution for healthcare facilities and laboratories. The system is designed to help physician’s offices, clinics, hospitals, clinical labs, public health labs, molecular labs, genetics labs, reference labs, and more to meet CLIA, CAP, Joint Commission, EPA, FDA, and ISO 15189 regulations.

Document Control allows users to collaboratively edit procedure and policy documents using existing tools, including Microsoft Word and Excel, without needing to convert them to other formats. Changes are automatically tracked by Document Control, and a complete audit trail of changes to manual, documents, and controlled copies is maintained. Policies and procedures are approved according to user-defined processes, enabling approval of documents by department heads, lab management, and the CLIA lab director. 21 CFR Part 11 compliant signatures and PINs are used for approvals.

Employees are automatically sent emails by Document Control for new documents or major revisions requiring their signoff, and supervisors are notified of employees who haven’t signed on time. Periodic reviews can be delegated to appropriate users and recorded with electronic signatures. Documents requiring revision can also be flagged. Document Control’s dashboards and reports give users real-time insight into upcoming tasks, which employees have outstanding signoffs, and more.

  • Users can view upcoming tasks and see which employees have completed their signoffs on the dashboard, and view, print, and export reports on approvals, employee signoffs, and more.

    MediaLab - Document Control and Inspection Proof

    Pros

    Ease of use to manage integration with CAP checklist. Provides Lab Director and staff with reminders to sign-off on new procedures, as well as providing notification to all staff of changes to processes and procedures when they occur.

    Cons

    The numbers of users jumps fairly high after 25. There should be an option between 25 and 100.

    Overall, MediaLab LDC has been GREAT! We went from using an extremely buggy and unreliable SharePoint document control system to one that is seamless to use with excellent tracking capabilities, easy to upload, update and manage laboratory and personnel documents. Would highly recommend MediaLab to any laboratory especially accredited facilities.

    Pros

    It's easy to use and provides excellent reporting functions. Updating and uploading documents is seamless and tracking functionality is second to none.

    Cons

    Receive too many emails from database which leads to ignoring of important messages. Some aspects are not as easy to use as others and this is true of the personnel documentation section.

    Pros

    It's nice to have one place to store all our documents. Other than that, I really can't think of anything.

    Cons

    It is not terribly user friendly, and non-computer literate people have a hard time navigating it. I am constantly having to talk people through its use

    This is the best document control system that I have ever used for a laboratory.

    Pros

    Tracking of revisions and approvals is simplified by far. You can always look up retired documents for retrospective review, changes are tracked and highlighted for quick review, as are all levels of review and approvals. It's easy to get to one's to do list, and the system can be set up to send emails when there are actions for you to take.

    Cons

    Can't think of anything that I don't like. The vendor is responsive to requests for changes. When we have asked for changes, they have been implemented in a fairly quick timeline.

    Great way to stay organized

    Pros

    The best thing about this software is having one place for all of your documents, and an easy way to track who has read them. I like that you can restrict printing so there are no unauthorized copies floating around the business.

    Cons

    I find some of the interface a little challenging to use - like the home page isn't totally intuitive. I end up using the search functions more than I normally would because things aren't laid out in a way that makes them easy to find.
